Islamic humanitarian non-profit

Ummanity ASBL
Out of the 3am admin nights

The context

A humanitarian mission overwhelmed by ops

Ummanity has been active since 2012 across two arms: Cooperation & Development (wells, Iftar, Zakat, Aaqiqah, school support) and Funeral Services (ritual washing, shroud kit, support). 15 countries, dozens of projects, hundreds of donors… but a team drowning in WhatsApp, manual transfer reconciliation and volunteers without tools. The president spent her nights logging donations until 3-4am.

Day to day

The pain points
we removed

Concretely, here is what made daily management unbearable before we stepped in.

Scattered donations

Bank transfer, PayPal, cash at events, one-off gifts — no centralised tracking. Impossible to know who gave what, or to thank properly.

Projects without dedicated pages

Iftar, Ramadan parcels, well drilling (4 sizes), Zakat, Aaqiqah, Sadaqa Jariyah — donors couldn't pick their precise project.

Religious documents on paper

Islamic will, Shahada, Tazkiyyah filled by hand, signed on paper. No central storage, lost documents.

Volunteers without tools

Recruiting and coordination via WhatsApp. No common platform, no schedule, no visibility on who does what.

No newsletter

No post-donation relationship with donors. No feedback on funded projects, no loyalty loop.

4 languages handled manually

FR, NL, EN, AR — every update had to be done in parallel everywhere, with risks of inconsistency.

No channel for Salat al-Janazah

No public broadcast of funeral prayers. Families and community had to call.

Manual logging until 3-4am

The president re-entered every received transfer by hand into Excel. Invisible and exhausting work.

What we built

What we put
in place

A complete multi-arm, multi-language platform with a rich admin to manage every aspect of the non-profit.

Multi-arm site in 4 languages

Before

Simple, unstructured site, painful multilingual updates.

After

Full FR/NL/EN/AR site with two distinct arms (Cooperation & Development + Funeral Services).

Donation catalogue

Before

Donor couldn't pick their project — blind transfer.

After

Catalogue with all projects (wells €250-2500, Quran €7, school kit €30, Aaqiqah €120, Eid Al Adha €120…). Donors pick their project.

Centralised Donations admin

Before

President logged every donation by hand until 3-4am.

After

Donations module: all donations centralised, traceable, exportable. End of sleepless nights.

Religious Documents module

Before

Will, Shahada, Tazkiyyah on paper, hand-signed, lost.

After

Documents module: Wills, Shahadas, Tazkiyyahs digitised, stored, retrievable in one click.

Salat al-Janazah module

Before

Families had to call for prayer times.

After

Public Salat al-Janazah page, updated from admin, accessible to the whole community.

Volunteer CRM + Agenda

Before

Recruiting and coordination via WhatsApp, zero visibility.

After

Dedicated CRM + Agenda module: who does what, when, where. End of forgotten or duplicated volunteers.

Newsletter + Petitions

Before

No relationship with donors after their gift, no mobilisation.

After

Newsletter module to engage and report back. Petitions module to mobilise on causes.

Blog + Knowledge base

Before

No educational content, no SEO.

After

Blog to share actions and Islamic content, knowledge base for religious knowledge.

The outcome

What truly changed for the president

No more sleepless nights logging donations at 3-4am — everything is automated

Donors precisely pick their project and receive structured feedback

Volunteers have access to their tools, schedule and mission

Religious documents (Will, Shahada, Tazkiyyah) are digital and retrievable

Salat al-Janazah is broadcast publicly — no more calls

The non-profit operates in 4 languages without inconsistencies

The president can finally focus on mission, not on data entry

Client's words

I was about to give up. Non-stop WhatsApp messages, the same questions on a loop, manual logging until 3-4am... It had become unbearable. Since we have this system, I can finally breathe. Everything is automated, volunteers have access to everything, and I can focus on our mission.

From 3-4am admin to peaceful operations — fully automated
